Abstract

The purpose of the article is to conduct a systematic analysis of the key problems inherent in traditional document management and to substantiate ways for their effective resolution in the context of digital transformation. The work is aimed at identifying typical challenges that arise at various stages of document flow within an organization and forming a comprehensive approach to overcoming them using modern management and technological tools.

Methods: The research employed methods of systemic analysis, comparison, generalization, and classification. Specifically, an analysis of the stages of document flow was conducted to identify vulnerabilities, the current legislative framework of Ukraine in the field of electronic trust services was studied, and scientific approaches to optimizing document management processes were summarized.

Results: Based on the research results, a step-by-step document flow scheme within an enterprise was outlined. A number of critical problems hindering the effective operation of enterprises were identified, including: paper-based bureaucracy, which slows down processes and increases costs; duplication of functions, which causes confusion and a loss of transparency; significant delays in approvals caused by manual operations; and the lack of unified standards for document formatting.

Conclusions: It is concluded that the successful optimization of document management is a multi-component process that is not limited to the implementation of technological innovations alone. The key to success is the integration of technological solutions with organizational changes and, no less importantly, the proper training of employees. The main goal of the study—identifying problems and substantiating effective mechanisms for their resolution—was achieved. The research also identifies areas for further scientific inquiry, particularly the analysis of the long-term impact of digital changes on corporate culture and the study of the potential for integrating artificial intelligence into document management systems.
